The Ontario Disability Employment Network (ODEN) is looking for a detail-focused, patient, and supportive, as well as technically astute administrative professional to join our team and drive Disability Inclusion in Ontario’s Workforce.
Position: Administrative Coordinator
As an Administrative Coordinator you will:
- Screen and respond to inquiries from the public, clients, suppliers, staff, and external agency representatives
- Relay messages, record details and refer to appropriate team member and personally responds to routine calls
- Create forms, templates, format and update documents and materials
- Schedule trainings and meetings for the team, including the registration page(s)
- Booking travel and meeting arrangements for all staff and events in the project
- Research suppliers, get quotes, book meeting space, etc. to support the work of the project
- Maintain the database of trainings, CRM system, and other record/statistical databases
- Prepare all training materials and documentation for Trainers (e.g., Participant binders, handouts, registrations, certificates, etc.)
- Prepare administrative and funder reports
- Prepare, format and write reports including tracking social media metrics and providing monthly reports
- Attend all project meetings, record minutes, and provide routine notetaking as required
- Provide technical support to team members (e.g., assist with PowerPoint presentations, introductions to new technologies, etc.)
- Update website and social media outlets as necessary
- Post social media content as approved by CEO (Chief Executive Officer) and/or Director
- Develop and manage surveys and quality assessments E.g., Survey Monkey
- Participate fully in the promotion and/or delivery of ODEN initiatives such Rethinking Disability Conference, ODEN Biz Connect Leader Series, ODEN Connection events, etc.
You are someone who is:
- Passionate about increasing employment opportunities for people who have a disability
- Proficient in a multi-task and multi-need environment
- Has strong administrative and organizational skills
- Able to follow through on projects and required daily tasks
- Has demonstrated knowledge of general office procedures
- Has good understanding of computer networks, hardware, and software
Minimum Qualifications:
- 3+ years of related office administration experience
- Demonstrated history of excellent customer service
- Experience working with the public and maintaining good client relationships
- Advanced computer competency with MS Office 365 applications (Word, Excel, PowerPoint, Outlook, SharePoint, MS Teams)
- Must be proficient with Zoom, RingCentral, CRM databases (Salesforce, Maximizer etc.) and able to learn new platforms/applications quickly
- Must have a functioning office set-up including computer, printer/scanner, web camera and basic headset/microphone, and access to a tablet or laptop during travel
- Ability to access reliable transportation
- Bilingual French and English is an asset
